1. Event Details
Gowaan Fest ’25

2. Event Rules:
2.1 For safety, fairness and well-being of all participants, it is imperative that each participant adheres to the following rules and guidelines, failure to comply with these rules may result in the termination of your pass and participation in the event, depending on the severity. The final decision will rest solely with the event organisers.
- No riders or spectators under the age of 18 will be permitted on-site without a parent or guardian present.
- Riders under the age of 13 must be supervised at all times whilst using the park.
- All vehicles must be parked in designated parking areas. Parking on or adjacent to residential properties or nearby roads is strictly prohibited.
- The use of a full-face helmet is mandatory for all riders and it must be fastened correctly at all times, whilst on their bike. The use of gloves and body armour is strongly recommended to enhance rider safety.
- In the event of an accident or injury, please alert an event official immediately.
- Riders should take the time to check the track or line before their ride to avoid any unexpected obstacles, hazards or features.
- Please dispose of all litter in designated bins or take it home with you.
- Strictly no modifications to tracks or event features will be allowed without prior consent from event officials.
- Please be considerate of our local neighbours by keeping noise levels and inappropriate language to a minimum.
- Participants are expected to cooperate with event officials at all times.
- Most importantly, have fun and enjoy your experience at Gowaan Fest ’25
3.1: Participants are solely responsible for complying with all applicable laws, bylaws and regulations of the United Kingdom throughout the event. This includes, without limitation, all speed limits, road traffic laws and regulations related to the possession or use of alcohol, drugs, or other prohibited substances.
3.2 Participation in the event and activities is at your own risk. By entering the Gowaan MTB Festival event, you understand and agree that you participate in the event entirely at your own risk, that you must rely on your own ability in dealing with all hazards and that you must ride in a manner which is safe for yourself and all others. You agree that no liability whatsoever shall be attached to the promoter, promoting club, meeting sponsor(s) in respect of any injury, loss or damage suffered by you in or by reason of the event, however caused.
3.3 The participant enters the event voluntarily with full knowledge and understanding of the risks associated with participation in the event and agrees that Gowaan Gals ltd, or any other associates or not liable for loss, injury or death caused by the participant.
3.4 If a ticket has been purchased on behalf of another individual or transferred, the purchaser is responsible for informing all ticket holders of these terms and conditions.
3.5 We strongly recommend that riders organise their own personal insurance cover for the event.
3.6 Participants will listen and act on advice given by any event employee or volunteer. Volunteers will be in Hi Viz vests.
3.7 The participant understands they are responsible for making a decision if they are capable, skilled and committed enough to carry out an activity at the festival, and agrees they are responsible for acting on pressure, encouragement or persuasion, over the participants skill, capability and commitment.
3.8 The Participants will be fully responsible for any fees or costs incurred or arising from an accident either involving or caused by themselves. This includes, but is not exclusive to, fees from Police, Air Ambulance, Fire and Rescue and the Ambulance service. If the situation arises that the Participant is not capable of making the decision to call the emergency services, and agree that a member of our Team or a member of the public may call on the Participant’s behalf. In these situations, the participant still accepts the costs and consequences of such actions.
3.9 If the event organisers believe a rider is not capable of tackling a course or activity they reserve the right to withdraw the rider from the event or activity on grounds of their safety and that of the other riders, spectators and members of the Gowaan Team. The withdrawn rider will not be eligible for a refund or a transfer. If a rider feels they are unable to ride the tracks or cycling activities, they may withdraw themselves. The withdrawn participant will not be eligible for a refund or transfer.
4. Medical:
4.1 Participation in Gowaan Fest ’25 is physically demanding. Participants are required to be in good health and have a level of fitness suitable for the event’s activities. If a participant has any existing medical condition that could be exacerbated by physical exertion, or if they are in doubt about their ability to safely participate, they must seek medical advice and obtain clearance from a healthcare professional before entering the event.
4.2 By entering, the participant confirms that, to the best of their knowledge, their physical condition is adequate to meet the demands of the event and they assume full responsibility for their health and well-being during their participation.
4.3 Participants are also required to inform the event’s medical team of any special conditions, allergies or other relevant health information to ensure appropriate support can be provided if necessary.
4.4 If a participant is entering on behalf of someone else, or if tickets are purchased by a third party, the person making the purchase is responsible for ensuring the entrant is aware of, and agrees to, these terms and conditions. The entrant must still meet all medical and fitness requirements as outlined above. The event organisers will not be liable for any health or medical issues arising from a third-party entry or ticket purchase.
4.5 If the medics advise the race organisers, that due to medical reasons, a rider should be withdrawn from the event: The rider will be withdrawn from the event. The withdrawn rider will not be eligible for a refund of transfer.
5. Tickets, Cancellations & Alterations:
5.1 Everyone wishing to attend the event, whether a rider or spectator, must purchase an admission ticket in advance.
5.2 All participants must bring two forms of matching ID, including one form of photo ID (for example, a driving licence and a bank card.
5.3 Event entry fees cannot be refunded under any circumstances.
5.4 We reserve the right to cancel any event due to extreme weather conditions, your entry will be automatically moved to the rescheduled event. No refunds will be issued.
5.5 The company does not accept liability and shall not be liable for any cancellation, delay or non-completion of an event in the following circumstances: As a result of terrorism, riots or lockouts affecting any Trades with which The Company is concerned. As a result of fire, flood, extreme weather conditions or any other cause beyond its control.
5.6 The company regrets that it cannot be held responsible for inclement weather affecting your attendance at any function.
5.7 The company cannot assume responsibility for any third party costs incurred associated with travel, accommodation, clothing, or any other related goods or services in the event of a cancellation or alteration.
5.8 The organiser reserves the right to relocate the event.
5.9 Tickets may be transferred to another rider. To complete a transfer, please contact the team at gowaan.gals@gmail.com with the new rider’s name and await further instructions. Is the responsibility of the original ticket holder to ensure that the new ticket holder is fully aware of, and accepts, the event’s terms and conditions.
6. Event Equipment:
6.1 A CE authorised full faced cycling or motorcycling helmet is compulsory and the responsibility of the participant.
6.2 The new style helmets with removable chin pieces are acceptable, please ensure the chin piece is correctly attached as recommended by the manufacturer.
6.3 We reserve the right to refuse access to the event, to anyone with inappropriate equipment or clothing or presence.
6.4 The participant is responsible for bringing their own bicycle in full working order and we strongly advise the participant to have a professional bicycle service before the event.
6.5 It is the participant’s responsibility to acquire any essential equipment required for the event, including all necessary safety gear. The organiser strongly advises that participants secure all required equipment prior to entering the event.
6.6 The organiser assumes no responsibility for the loss, theft, or damage of any property owned by or under the control of the participant.
6.7 The participant is responsible for ensuring their bicycle is fit for purpose. Details of what to expect, the cycling activities and the terrain at the festival can be found on the Festival Tab on www.gowaan.co.uk as well as personal research and enquiries.
6.8 If equipment is provided to the Participant by the Organiser, all reasonable care is expected to be exercised by the Participant in relation to this equipment. If it can be seen that the Participant wilfully or maliciously damages equipment or where negligence has been shown in the care of such equipment, the Participant hereby accepts that the Organiser has the right to charge the Participant for the cost of replacing the equipment.
7. Recordings Promotion & Data:
7.1 By participating in the event, you confirm and agree that we and third parties, authorised by us, may record you via photographs, film, audio, audio-visual or other recordings, still or moving during the event (“Recordings”). We shall own all rights in such recordings and you hereby (i) assign to us any and all present and future copyright, performance rights and any other right, title and interest in and to the Recordings and you hereby waive the benefit of any law knowns as “moral rights” ; (ii) agree that we may use the Recordings for any purpose at our sole discretion including in any marketing and/or publicity materials, and on any website and social media ; and (iii) agree that Recordings may be altered, edited and/or modified (e.g combined with other images, text, graphics and/or sound). You hereby release us from any and all liability from such use and promotion and specifically waive any right to any compensation you may have for appearing in any of the Recordings.
7.2 In the case of competitions, giveaways, and, but not limited to, prizes, the winner or participants agrees to the use of her or his name, photograph and disclosure of county of residence and will cooperate with any other reasonable requests from us relating to any post-winning publicity.
7.3 By attending the Gowaan MTB Festival, the participant agrees to give the required personal date to Gowaan Gals Ltd.
7.4 By attending the Gowaan MTB Festival, the participant agrees to have read our Privacy Policy, Safeguarding Policy and Event Rules.
8. Event Communication
8.1 In registering, the Participant must provide a valid email address so the organiser can send confirmation of event registration. The email address supplied may be used by the Organiser to send out information about the event entered. It may also be used by the organiser after the event ends to send follow-up information about the event and future events.
9. Event activities:
9.1 Pumptrack will be on a first come, first served basis. During busy times, participants’ time on track will be limited.
9.2 It is the responsibility of the participant to inspect all activities, tracks, courses before attempting to cycle them.
10. Bike Demo Hire
10.1 I accept full responsibility for the care of the equipment while it is in my possession.
10.2 I will be responsible for the replacement, at the full retail value, of any equipment not returned in full working order.
10.3 I have received instruction on the use of my equipment and fully understand its use and function and where it will be ridden.
10.4 I agree to wear a helmet at all times while using the borrowed equipment.
10.5 I understand that there are inherent and other associated risks involved in the sport of bicycle riding, for which this equipment is to be used, that injuries are a common and ordinary occurrence of the sport, and I freely, and voluntarily assume those risks. I also understand the increased associated risks with riding a full suspension bicycle, including its enhanced performance and the riders propensity for travelling at increased speed as a result.
10.6 I hereby release from mega liability, Gowaan Gals ltd, and all associated bike demo organisations present at the event and its owners, agents and employees from any and all liability for damage, injury or death to myself or to any person or property resulting from the selection, installation, maintenance, adjustment or use of this equipment and for any claim based on negligence, breach warranty, contract or other legal theory, accepting myself the full responsibility for any such damage, injury or death which may result. In other words, I accept the equipment, as is.
10.7 This agreement is governed by the applicable law of Scotland. If any part of this agreement is determined to be unenforceable, all other parts shall be given full force and effect.
It is the responsibility of the participant to read the most up to date version of the event disclaimer and rules.
